Receptionists do not read instructions

UPDATE to 1 Start: Smith.si response's is a material misrepresentation of what transpired. My experience was after they answered calls for just 4 days. No way I was willing to stick around to help this business resolve its customer services challenges and coachable opportunities as they put it. Not on my dime. If you have that $600/month to spend to review another company's work, then by all means this is the service for you.

To be fair, I did have a phenomenal onboarding experience which fell short after implementation.

At no time did I say I was too busy to approve revisions and in fact made many through your portal by myself. Your rep did acknowledge her mistake of not including the signature line when "copying and pasting" the sample follow-up message provided. [Potential customers be warned, critical thinking cost extra] As previously stated in my initial post, you have to double triple-check all their work. [Tip: make sure to select cc: option on the dashboard to see what is actually being sent to customers]

This whole “Help us help you” is a lame and very unprofessional attempt to push off responsibility instead of improving their service. I wish I could post screenshots of our correspondence showing their response does not correlate with what actually transpired along with notes where their team referred to me as an attorney. To then post here that you found no "confirmation" that I was referred to as an "attorney" is just shameful.

Ignoring your guidance? Guidance for what exactly? To change my business operation to fit your model? No, thank you. Just be honest and say your system is inflexible and has limitations. Your team is not trained to ask follow-up questions in order to obtain the information needed to qualify the lead. My automated service can do that. You do not truly have bilingual services. I had to pay for a separate dedicated Spanish line. I have moved on to a service where all reps are actually bilingual and I get to try their service FREE!

Receptionists do not read instructions. There were multiple issues, such as scheduling telephone consults without offering in-person or virtual options; not accurately screening callers; Referring to me as an attorney (I am a Legal Document Assistant) which opens up my business for considerable liability.

Follow-up emails sent to customers did not have a salutation or signature line. To some extent, this can be viewed it's a simple oversight, but there is an expectation of reasonableness. Is it unreasonable to expect a greeting or with requesting that a signature line be included in emails? I don't think so. My Onboard Specialist just went over this morning. And, it still appears that the email signature line did not make it into the revisions. What is unreasonable is the amount of time I'm spending on such a simple request. The fact that emails went out without a greeting or signature line is not how I wish to be presented to the public. It also explains why my client conversion rate dropped immediately after implementing Smith.ai.

It’s unfortunate that you feel this way as we’ve tried working with you directly to handle calls to your preference, but we’re unable to make changes to your account’s instructions without your approval for liability reasons.

When our support rep attempted multiple times to confirm with you about your new updates that would improve call handling and lead qualification, you were unresponsive when asked for your approval. You indicated with our support team that you had limited availability to manage the approval process so we attempted to streamline your changes which you also were not supportive of without reviewing before implementation.

In short, you told us you were too busy to review the changes you requested, yet refused any updates to your account without your approval.

In your first month of service with us, we handled 5 new potential client calls for your business. Only 1 caller was interested in scheduling an appointment, which our receptionist happily booked in real-time. The other 4 callers declined to schedule an appointment while on the call with our receptionists, prompting them to send follow-up messages that we have on file for your business for qualified leads who weren’t ready to book a meeting. We reviewed your feedback and found no instances of in-person consultations not being offered to callers interested in scheduling a meeting.

There was only one instance where you were referred to as an attorney, but in that case it had accidentally been included in a call summary (i.e., it was a typographical error), not to a caller. We’ve found no confirmation that any receptionist said you were an “attorney” to a caller. Our support team then took extra precautionary steps to ensure this would never happen again. Our investigation verified it did not happen again.

Regarding your follow-up emails to customers, we used the follow-up message exactly as you shared it with us. You requested certain updates that weren’t capable of being done, which our support staff informed you about. At your request, we implemented an update to your follow-up email to include your signature quickly after this request, and when the other changes were resolved.

We’d love to continue working with you to resolve the challenges you’ve experienced, but the process requires that you “help us help you” by reviewing and approving the changes to your account. Ignoring our guidance doesn’t help you or us, and for liability (and obvious) reasons, we can’t change any customer’s call handling instructions without their permission. We hope you can understand and respect our perspective, and we’re sorry to resort to a public forum. Ideally we are always able to resolve these matters directly, and we remain open to doing so.

Best Call Answering Service Ever

Of all the productivity, business related platforms I have used and continue to use to run my law business, Smith.ai is by far the very best. The charge by the call, not the minute like most do and they filter out spam and sales calls so they are not billed. The receptionists are well-spoken, efficient and courteous and as soon as the call is taken, I get an email with all the pertinent details and an email and a text if they are unable to reach me. The dashboard too is great. I cannot speak too highly of Smith.ai and will recommend them to anyone who needs a call answering service.

Informative, Detailed and Easy to Navigate

So far our clinic has had a wonderful experience with Smith.ai. We had a great onboarding call and they were very informative and helpful. We switched another one of our phone lines to Smith.ai after only a few days of using them. The call center is friendly and very detailed in writing descriptions of the calls. Really helps our staff out and enables us to better serve our patients!

Great Service

Amazing!

I cannot believe it took us so long to find Smith.ai! Our lead volume is up 30% over the phone in the first 6 weeks of hiring Smith to answer our phones for us.

We are now going to hire them to reply to our chats and set meetings with the incoming leads that they will screen.

This will let our people work on other tasks and increase lead volume as well as lead-to-meeting ratio. Super excited.

Nothing short of amazing!

Above and beyond service.

I’ve been using their services for a few months now. My clients have had a good experience with their answering services. I was impressed when a staff member went above and beyond and looked up some info for a caller regarding an event I was hosting and gave that caller the info requested. I have also used their services to make calls to clients or prospective clients. They call quickly and are able to get me the info I need. So far, their service is great and their customer service is on spot. Thank you.

Happy Smith customer in NC

I've been a Smith.AI customer for a couple months now. I use it for my small law firm in North Carolina. It has been especially helpful in scheduling calls with prospective clients. For some practice areas, I do initial calls for free, but in some areas, I charge for the initial consults. The Smith receptionists know the difference and inform the client accordingly. Five stars.

The first point of contact for any business is the most important one. Having Smith.ai has been an asset to our company to help us connect with our clients faster and more efficiently.
