I could not be happier with this booking site. From setting up to managing my events. Everything is clear and easy to use and if there is anything I don’t know I can find the answers in the help pages or contact the team for help. I’ve had such excellent support. This system takes the stress out of managing my yoga business along side my other full time job. I don’t know how I’d manage without it!

Book when is a great way to manage your own bookings without having to contact head office and is the way forward for companies to step back from managing bookings and decrease the admin. Found it very useful for block bookings for an Acting class I attend every a week and can block for the whole term ahead.Easy and efficient to use

I’ve been using bookwhen.com for many years now. It’s very feature rich and I’m discovering more as I need them. For instance, I had to transfer multiple bookings from a cancelled to a future event and sure enough I found a move function to do it simply. Sometimes navigating can take a bit of digging and there’s occasional quirkiness, but 99% of the time it’s brilliant!

This site has been so great for my business. It has really helped to streamline how my clients book into a course and taken a lot of the hassle of the admin side of running courses there are lots of helpful guides to help you through setting everything up and customer support have been responsive.

We have recently started using Bookwhen to sell tickets for workshops at our small Craft Centre. An initial mistake in setting up tickets for our very first event, a 6-week workshop, which we hadn't yet picked up on, was flagged up by the support team within a day! Ollie was then on hand, almost by return of message, to guide us through the solution.
Together with a very helpful Help Section (compliments!) the customer service is 5 Star PLUS.
Our workshop users are by nature even less tech minded than us and seem to find Bookwhen easy to use.
The different packages on offer were what persuaded my finance expert :-)

We have been using bookwhen as a competition booking platform for our National clay target shooting association for over 2 years, and have completed thousands of bookings. The system is flexible and robust, and users adapt quickly. However the standout feature of bookwhen is their support. We sometimes want to do fairly complex events and bookwhen are unique in that you can quickly get to talk to a real and knowledgeable support staff member. I cannot recommend bookwhen highly enough.

I have used Bookwhen since my Yoga Studio opened 3 years ago. The customer service is excellent, there seems to be always someone to talk to, and they make sure you totally understand how the system works. Feel totally supported by them. The communications are always incredibly polite, and I feel very valued.

I have been using Bookwhen for over a year now for my baby and toddler music class bookings alongside party bookings and I’ve found it to be brilliant. I love the ability to capture key information from the customer upon booking (photo consent and acceptance of other policies) alongside being able to take the register on my mobile so I’m clear on who is and isn’t present, this is a great feature and one I use for every class. As an end user I like the simplicity to duplicate terms as this saves a lot of time and effort each time I need to release new bookings.
I’ve had demos from other companies who have tried to share how their systems can better support me but honestly with the stripe connection and reasonable fees I haven’t found anything to tempt me away. The customer service also is excellent- any query and they have been incredibly fast in response.

I have been using bookwhen for my art classes for over a year. They are a great service. Always come back very quickly to resolve problems. I am a very small business but it makes things so easy to have everything in one place.

The system took me a while to get used to and set up and I’m still learning all of the time about all of the different features. I run a small swim school and have been looking for an online booking system for a very long time . My friend recommended me to bookwhen as he is in the same bussiness as me . I would definitely recommend bookwhen to others . One of the great things about this system is that there are advisors at hand most of the time to answer any questions and they always get back to you . I’m not 100% clued up yet but I know that the more I use the system the easier it will be .

we use bookwhen to help manage our bookings and payments. it has reduced the amin work from a weeks worth of work to a hour or two. it really helped when it came to student grouping and booking interests. we can see how popular a activity is and quickly open or close that activity to reduce costs.

We have been using Bookwhen since May 2019. We migrated from Mindbody which was costing us (a small low profit sewing school) £216 a month, eeek! Bookwhen is around £23 a month so this has made a massive difference to us.

We find Bookwhen much simpler to use than MB. It's a joy to add new dates and times to a course or workshop. The booking confirmation work well, and reminders to students.
You can even sell prerecorded workshops (secret url on YouTube or vimeo) that are integrated on the booking confirmation so can only be viewed once purchased.

We sell pdf patterns too, the pdf doc and any other info pdfs can be uploaded to the booking confirmation.

The Class Passes are the mainstay of our business. We love the flexibility of running classes most days and students buying passes in advance they can use up as they go. We had this with MINDBODY as well, so were really pleased to discover Bookwhen did them too.

Bookwhen help desk is GREAT. They reply really quickly, are endlessly friendly and helpful.

I would say with any booking system, do some user testing with your students, to see how you can customise it. We have some non techy students who don't know how to navigate it, but by inviting them in to watch what they do we have tweaked things in Bookwhen and our website to improve the process.

Reporting and purchasing history is quite basic, but there are workarounds. We use Stripe for the sales so we take our monthly sales reports from their Balance Change report which shows all income and any refunds (we don't take our sales reports from Bookwhen).

We do pull off a useful report before sending each email marketing from Bookwhen, which is everyone who purchased recently who opted in to email marketing. And we download reports from BW Re which discount codes were used. Good for seeing how successful a Black Friday sale was!

If you're thinking of selling event, class, course or workshop tickets through Bookwhen, go for it. Use the help desk and keep testing it with customers. Really good budget booking system
